What Information We Process About You And Why

On some parts of our website we will automatically capture:

  • Internet Protocol (IP) address
  • Browser type and version
  • Operating system Device type (e.g., mobile, desktop, tablet)

This means our systems may keep a record of what type of device and app you are using to access our online services and from what online location. This is usually anonymised and we cannot identify you from the information alone.

Most of this information is used to make our website work, to keep it secure, and to comply with the law. We may also use it to study how visitors use our website and make use of our other services so we can improve them.

The types of data that we collect

If you are a subscriber to any PDP journal or a delegate on one of our training courses or conferences, we will collect from you only your contact details and those data that are necessary for the administration of the event or subscription – you may submit, at your option, further information that will help us to contact you by alternative methods. If you are a candidate on a qualification programme, PDP will retain your contact details, training information and examination results in order to administer any relevant CPD programme as well as to be able to inform, at your request only, your current or prospective employer of your qualification results and status. Unless you have indicated otherwise, you will from time to time receive information from PDP that informs you about products and services related to your field of interest.

PDP sends its clients and contacts email newsletters each week. You can at any time let us know that you no longer wish to receive such information by sending us an email

Information collected and stored automatically (in website logfile)

When visiting our web pages, tracking technologies may record information about your visit automatically. This information does not identify you personally. We automatically collect and store only the following information about your visit:

  • the Internet domain (for example, ‘domain.com’ or ‘isp.com’ if you use a private Internet access account) and IP address (an IP address is a number,  ‘xxx.xxx.xxx.xxx’, that is automatically assigned to your computer whenever you are surfing the web) from which you access our website;
  • the type of browser software and operating system used to access our site
  • the date and time you access our site;
  • the pages you enter, visit and exit our site from and
  • if you linked to the server’s domain from another website, the address of that website.

We use this information to help us identify click stream patterns, to improve our website and to learn about the number of visitors to our website and the types of technology our visitors use. We only use this information to ensure that our web pages stay compatible with a cross selection of browsers and systems and thereby ensure that the pages appeals to a wider audience.

Legal Basis for Processing Personal Data and Data Retention

As a provider of training courses, qualifications, conferences and journals, PDP’s main basis for processing personal data is ‘contractual necessity’.

The ‘legitimate interest’ basis for processing personal data is available for the purposes of business administration, as well as for marketing and promotional purposes.

PDP’s standard personal data processing duration is six years, although in some cases information will be deleted sooner than this. Personal data will be retained for longer than this where PDP is required to retain data for longer periods of time by operation of legal requirements or where retention is needed in order to administer PDP’s continuing relationship with you, such as in the case of Qualified Practitioners. Your basic contact details (name, email address) will be retained for marketing and promotional purposes until you opt-out or unsubscribe.

Sharing Your Information

We will not, without your consent, supply your name and address to any third party except where (1) the transfer is necessary in order to appropriately supply you with the products or services that you have specifically requested, (2) the transfer is to a secure processor who carries out data processing operations on our behalf, (3) the transfer is to a successor in title to the business, or (4) we are required to do so by operation of law.

Transfers to Processors

Arrangements with processors are conducted in accordance with data protection legal requirements, including any transfers of personal data outside of the United Kingdom.

We use Constant Contact (based in the US) to send email newsletters (a recipient can quickly and easily opt-out at any time). Constant Contact is signed up to UK extension to the EU-US Data Privacy Framework which provides protection for your personal data in the US. More information on this can be viewed here.

We use Xero for the internal management of financial matters. More information on how Xero stores customer data and handles international data transfers can be viewed here.

Our CRM system uses data centres based in Dublin, Ireland (within the EU). EU law provides a similar level of protection for personal data as within the UK.

We use Stripe to allow clients to make payments to us by card. Full information on how Stripe processes personal data can be found on their Privacy Policy.

Use of Google reCAPTCHA

We use Google reCAPTCHA on our online booking forms to protect our website from spam, abuse, and automated submissions. reCAPTCHA analyses interactions with the form to determine whether the user is a human or an automated system. This involves the collection of information such as your IP address, device and browser characteristics, and your activity on the page. Cookies may also be used as part of this process.

Google provides the reCAPTCHA service and processes this information as an independent data controller. Google may use the data it collects for its own security and analytics purposes. Our lawful basis for using reCAPTCHA is legitimate interests, as it is necessary to ensure the security and integrity of our online services. Google may process data on servers located outside the UK; where this occurs, Google applies appropriate safeguards to protect personal data in line with UK data protection requirements.

Administrative Matters

All PDP employees understand the content of this privacy policy and are appropriately trained in data protection legal requirements. Appropriate disciplinary actions will be taken against any employee who violates this policy.

Should you wish to obtain a copy of the personal data that we hold on you, please send us an email. As soon as we are satisfied as to your identity, we will send to you, within one month, a copy of all the personal data that we hold concerning you.

To ensure that the information we hold is accurate and up-to-date, please ensure that we are promptly informed of any relevant change to your contact details.

Your Rights

Data protection law contains several rights that may be exercised by individuals in relation to their personal data. Generally, you have the right to:

  • request a copy of the personal information that PDP hold on you
  • have any inaccuracies corrected
  • have your personal data erased
  • place a restriction on our processing of your data
  • object to processing
  • request your data to be transferred to another organisation
